Client card: bookings, history and notes

The client card brings together contacts, bookings, payment history and notes with photos. Everyone with access to the client sees the notes; a note can only be deleted for good.

The client card brings together contacts, bookings, payment history and notes with photos. Everyone with access to the client sees the notes; a note can only be deleted for good.

The card is open to those who can see this client: the owner, “Full access”, “Manager”, and a “Master” for their own clients.

What’s in the card

  • Contacts: “Phone:”, “Email:”, “Birthday:”, “Preferred specialist:”, social media and tags. The CRM adds the “Regular client” tag itself.
  • “Call” and “Message” buttons.
  • Totals: “Total Spent”, “Total Visits”, “Last Visit”.
  • Three tabs: “Bookings”, “History” and “Notes”, each with its own search.

How to do it

Open the card

  1. Open CRM → “Clients” and click the client.
  2. Or open a booking in the calendar and click “Open Profile”.

To change the details, use “Edit profile”. To book the client for a new visit, use “Add Booking” on the “Bookings” tab.

Add a note

  1. On the “Notes” tab, click “Add note”.
  2. Write the text and, if needed, click “Add photo”.
  3. Click “Save”. The note shows its author and date.

Anyone with access to the client can add a note. A saved note can’t be edited — only deleted and written again. The exception is the “Profile note” at the top: it’s the “Notes” field of the client’s details, changed in “Edit profile”.

Delete a note

  1. Open the note’s menu and choose “Delete note”.
  2. Confirm in the “Delete this note?” window. If the note has photos, the CRM warns: “Its photos will be deleted too. This can’t be undone.”

Notes are deleted by the owner, “Full access” and “Manager”. A deleted note can’t be brought back.

History

“History” gathers everything that happened with the client: bookings created, confirmed, completed, moved and cancelled, payments received, refunds and notes added. Bookings on the “Bookings” tab carry labels such as “Upcoming”, “Completed” or “Cancelled”.

If something goes wrong

“Could not save the note. Your text is kept — try again.”

Your text isn’t lost — it stays in the form. Check your internet and click “Save” again. The same goes for “Could not delete the note. Try again.” — repeat the deletion. If the form says “Write the note first.”, the note is empty.

“Could not load the history.”

Check your internet and click “Try again”.

“Client not found”

“The client may have been deleted.” Most often the link is old, or the client is outside your access: a “Master” sees only their own clients. Find the client with the search in “Clients” — a full phone number finds archived clients too.

The card says “This client is in the archive since …”

The client is archived: their bookings and notes are all there. To bring them back to the list, click “Restore” (see Removing a client: archive instead of delete).
