Removing a client: archive instead of delete

Clients aren't deleted — they are moved to the archive: they leave the list, but their bookings, payments and notes stay. Bring them back with "Restore" or with a new booking.

The owner, “Full access” and “Manager” can archive and restore clients.

What the archive does

  • The client leaves the list, the client search in the booking form and the client export.
  • Their bookings, payments and notes stay where they are.
  • A full phone number still finds them.
  • A new booking for this client — in the CRM or online — brings them back from the archive automatically.

The CRM has no client deletion: a client with bookings or payments can’t be deleted, because that would break the history of bookings and “Finance”.

How to do it

Move to the archive

  1. Open CRM → “Clients”.
  2. Open the menu on the client’s card or row and choose “Move to archive”. Or open “Edit” and click “Move to archive” there.

On a phone: open the client, go to editing and tap “Move to archive”.

Restore from the archive

  1. In “Clients”, turn on the “Archive” toggle next to “Card” and “List”. On a phone — the “More actions” menu → “Archive”.
  2. Choose “Restore” in the client’s menu. Or open the client’s card and click “Restore”.

You can also book an archived client without this: find them by the full phone number — after the booking they return to the list automatically.

If something goes wrong

“This client has an upcoming booking. Move or cancel it first, then archive.”

A client with upcoming bookings can’t be archived. Move or archive those bookings in the calendar (see Rescheduling or archiving a booking), then try again.

“Could not move the client to the archive. Try again.”

Or “Could not restore the client from the archive. Try again.” Check your internet and repeat. If that doesn’t help, write to us. Write any time — we reply during working hours.

There’s no “Delete” button

That’s by design: the archive replaces deletion. The CRM won’t delete a client with bookings or payments: “This client has bookings or payments and cannot be deleted. Move them to the archive instead.”

A client asks you to delete their data

You can clear what you don’t need in the card: email, social media, notes (notes are deleted for good). The name and phone number are required. About deleting a client’s data completely, write to us. Write any time — we reply during working hours.

A client disappeared from the list

Most likely they are archived: turn on “Archive” or search by the full phone number.
