Your admin runs the bookings, you see the finances

Invite your admin and specialists to the salon’s CRM, each with their own sign-in. With the “Manager” level, your admin runs the whole team’s bookings, and each specialist runs their own. Your password stays yours, and nobody has to ask you for tomorrow’s schedule.

Access levels

Everyone gets the level their work needs

You choose the level on the staff card when you turn on “CRM access”, and can change it any time — it applies at once, no new invite needed.

Viewer

Only their own calendar and bookings, with no changes: the calendar says “View only”. No “Clients” section.

Master

Their own bookings, clients and working hours. They can find a salon client by the full phone number and book them in.

Manager

Everyone’s calendar and bookings, clients, leads and reviews, tasks, the team’s cards and schedules — no finance, settings or staff access. Suits a front-desk administrator.

Full access

Everything in the CRM, finance and payroll, settings and access included. Only you give or take this level. The plan and billing stay with you.

Invitations

One invite, and they’re in your CRM

On the staff card, turn on “CRM access” and choose the level and how to invite. They choose their own password and go straight into the salon’s CRM, with no separate Bookly sign-up. Until they accept, the card says “Invited”, and if they miss the deadline, “Expired”. The Team plan has up to 3 seats.

By email

They get an email with an “Accept the invitation” button. The card shows where it went and until when it’s valid, and “Send again” sends a new link.

By link

Press “Copy” and send the link in a messenger. It’s personal, works once and lasts 7 days; the person enters their own email and confirms it with a 4-digit code.

Personal sign-in

Everyone sees their part, you see it all

Your admin no longer needs your password: everyone signs in with their own, and the “Activity” of the bookings they make carries their name. Finance, settings and access stay with you and anyone you’ve given “Full access”.

Their own sign-in, their own day, their own clients

They sign in with their own email and see their calendar straight away. Sections outside their level aren’t in the menu: a “Master” doesn’t see “Finance”, and a “Viewer” doesn’t see “Clients” either. They no longer have to message you to ask what’s on tomorrow.

Their own schedule, no one else’s

A “Master” and a “Viewer” have only their own column in the calendar and only their own bookings in “Bookings”. A “Manager” sees the whole team.

They hear about changes without a call

A client books online, or your admin moves a booking or hands it over — the specialist sees it in their CRM notifications.

You see who changed what

When a team member creates or changes a booking, its “Activity” shows the change with their name and the “Staff” badge.

The keys to the CRM stay with you

Only you give or take “Full access”, and if someone who has it changes a colleague’s access, you’re notified. Turn off someone’s access and the CRM closes for them at once on every device; turning it back on needs no new invite.

Contact us

Add your admin in “Staff” and turn off “Show in the timetable” and “Make available for online booking” — they don’t take clients themselves. Then turn on “CRM access”, choose the “Manager” level and invite them by email or by link.

The Team plan has up to 3 seats, and you, the owner, take none. Active access and pending invitations hold a seat; expired and turned-off ones don’t. The calendar can hold more specialists: access is only for those who work in the CRM.

An email with an “Accept the invitation” button, or your link. They enter their name and a password (with a link, also their email, confirmed with a code) and go straight into the salon’s CRM. Their menu holds only the sections of their level; the multilink, the plan and billing are closed to them.

You can’t invite that address — say, if the person already has their own page on Bookly. Use another email. For Gmail, the same address with +salon before the @ works, and the mail still arrives in the same inbox.

Their own clients, yes: those booked with them or assigned to them. The rest of the base is hidden at the “Master” level: a specialist finds another salon client only by the full phone number, to book them in. A “Manager” sees the whole base, and only you and those with “Full access” can export it as a file.

Move or cancel their upcoming bookings and archive the card: their CRM sign-in closes, the seat frees up and the booking history stays. If they’re only away for a while, press “Turn off access”: when they’re back, turn it on again — no new invite needed.

Staff sign-in to the CRM pauses, and their cards say “Paused”. As soon as the salon moves back to the Team plan, access comes back by itself, with no new invitations.

Yes: the CRM opens in the browser, and it’s handy to add it to your phone’s home screen. The Bookly app doesn’t support staff accounts yet. You can set up access from your phone too: the staff card in the mobile CRM has the same “CRM access” block.
