Team schedule

Everything about working hours for your whole team

The schedule, specific dates, breaks and time off are set for each specialist separately, and the whole team’s week or month you see in one table.

The whole team in a table

The “Working Hours” screen shows “This Week” or “This Month” for every specialist: who works, on which days and for how many hours. The hours of the week sit under the name.

Team hours per day

The “TOTAL” column adds up how many hours the team works each day. Specialists can be sorted by name, “Most hours” or “Fewest hours”.

Specific dates

A single date can get other hours or a day off. That day overrides the weekly schedule, and the table marks it as “Custom”.

Breaks with types

“Lunch break”, “Cleaning”, “Personal”, “Meeting” or “Other” on the weekdays you choose, with a note. A break shows in the day’s cell, and a one-off break can be set right from the calendar.

Time off and sick leave

Add “Annual leave”, “Sick leave”, a “Personal day”, “Unpaid leave” or a “Business trip” with the dates, a reason and who covers for them.

The schedule in the calendar

In the group day view the calendar shows each specialist’s hours or “Day Off” under the name, and draws breaks in the grid with their type.

Working Hours

Set the week once

Click a specialist in the table and the “Staff schedule” window opens. On the “Working Hours” tab each day of the week is switched on separately with its own hours, a day switched off becomes a day off, and the “Weekly Total” adds itself up. The schedule applies every week until you change it.

  • Every day with its own hours or “Day Off”
  • “Reply for all weekdays”: the same hours from Monday to Friday
  • The “Weekly Total” under the name in the team table
Time off

Time off and sick leave

On the “Time off” tab add an absence: “Annual leave”, “Sick leave”, a “Personal day”, “Unpaid leave” or a “Business trip”, with the start and end dates, a reason and who covers for them. On all those days online booking with the specialist is closed, and the rest of the team takes bookings as usual.

  • Five types of absence with dates and a reason
  • “Coverage (who replaces you)”: a colleague from the team list, or no cover
  • Online booking is closed on the days of absence
From your phone

The team’s schedules always to hand

The “Working Hours” page is in the mobile version too: the week or month of the whole team or of one specialist, the hours per week under each name and a button to edit the schedule. Breaks, absences and a one-time change of a single day are added from the phone.

The schedule from a phone

Open a specialist’s schedule, switch the days on and set the hours. “Reply for all weekdays” works here too.

Breaks with a type and a repeat

Pick the type, the time and the days it repeats on, add a note. The break shows in the calendar, and the booking page does not offer that time to clients.

One day on its own

“Edit This Day” sets other hours or a day off on a single date as a “One-time change”. The weekly schedule stays.

The schedule in the calendar

In the group day view the calendar shows each specialist’s hours or “Day Off”, so who works today is clear at once.

How do you set up a work schedule?

Three steps, and online booking follows the new schedule.

1

Open the schedule

In “Working Hours”, click a specialist’s name in the table: the “Staff schedule” window opens.

2

Set the week

Switch on the working days and set the hours. If needed, add breaks, time off and specific dates on the neighbouring tabs.

3

Share your booking page

Clients will see only the free time within each specialist’s schedule.

Online booking follows the whole schedule of a specialist

When a client picks a date on your Bookly page, the free time is worked out from the specialist’s schedule for that very day: the weekly hours or the date’s own hours, breaks and time off. Time taken by other bookings is not offered, nor are today’s hours that have already passed. Change the schedule, and the booking page shows the new hours straight away.

  • Online booking is closed on days of time off or sick leave.
  • A service with its extra time stays within the schedule.
  • You choose the booking step: from 5 minutes to an hour.
