The calendar: views, new bookings and edits

The CRM calendar has "This Day", "This Week" and "Group View" with a column for each specialist. You create a booking with "Add event" or by selecting time in the grid; online bookings appear on their own, without reloading the page.

The CRM calendar has “This Day”, “This Week” and “Group View” with a column for each specialist. You create a booking with “Add event” or by selecting time in the grid; online bookings appear on their own, without reloading the page.

Who can do what: the owner and “Full access” — everything; “Manager” — the calendar and bookings of all specialists; “Master” — only their own column; “Viewer” sees their own calendar without changing it. Several specialists in one calendar come with the Team plan; on Basic and Pro the calendar holds one specialist.

Views

  • “This Day” and “This Week” — the switch at the top of the calendar.
  • “Group View” — a column for each specialist; “Single View” — one person’s calendar.
  • “All Staff” or “Selected Staff” — who to show.

The calendar has no month view.

How to do it

Add a booking

  1. Click “Add event” at the top of the calendar, or select time in the grid and choose “Add New Booking”.
  2. Choose the specialist and the service. “Add extra service or products” adds more.
  3. Find the client by name or phone, or click “Add Client”.
  4. Check the date, “Start” and “End”. Add a note with photos if you need to.
  5. Click “Create Booking”. While something is missing, the form says “Still needed: …” — for example “staff member” or “time”.

A new CRM booking gets the status “New”. Confirm it, or it will be declined automatically before the visit (see Why unconfirmed bookings are declined automatically).

At the “Master” level, a staff member books clients only into their own column and finds other salon clients by their full phone number.

On a phone

  1. Tap “Add” at the bottom of the screen and choose “Event”.
  2. Fill in the booking as on a computer and save it.

On a phone the calendar shows “Day” or “Week”: use the “Calendar View” button.

Block time

Select time in the grid and choose “Set a Break Time” — online booking won’t offer that time to clients. Vacations and sick leave go into “Workspace” → “Working Hours” → “Time off” (see Time off, sick leave and absence requests).

The booking card

Click a booking to open its card: the client with “Open Profile”, the “History” of their earlier visits, the specialist, the services, the “Total:” and notes with photos.

  • The status and the payment sit at the top of the card: click them to change (see Booking statuses and payment statuses).
  • Click the booking’s title to change it (“Rename booking”).
  • The “More” menu has “Edit” and “Archive”.

Live updates

New online bookings and your colleagues’ changes appear in the calendar on their own, without reloading. When all is well, the calendar says “Live updates are on”.

If something goes wrong

“Live updates are off. The calendar reloads when the connection is back”

The connection dropped, so new bookings and colleagues’ changes don’t come in by themselves. Check your internet: the calendar reloads once the connection is back, or reload the page.

“Could not load the calendar.”

Or “Couldn’t refresh the calendar. It shows what was loaded before.” Check your internet and click “Try again”. If that doesn’t help, write to us. Write any time — we reply during working hours.

“Could not save — try again”

The change wasn’t saved. Check your internet and repeat the action.

“Can’t book on a date that has already passed”

You can’t create a booking on a past date. If you only need to record the money for a past visit, add income in “Finance” → “Operations” (see Operations and journal).

“This booking is no longer in your calendar: it was archived or moved to another master.”

Or “This booking is not in the calendar: it may have been archived.” An archived booking stays in “Bookings” with its cancellation reason (see The Bookings section). If the booking was handed to another specialist, it is now in their column.

“View only: your access level does not include changing bookings.”

Your access level is “Viewer”: you can see the calendar but not change it. Ask the salon owner to change your level — see Staff access levels in the CRM.

“Time conflict!”

The specialist already has a booking, a break or time off at that time. What to do: Time conflicts, breaks, days off and time off.

“The limit of 30 bookings a month is used up…”

A Basic salon has used this month’s bookings. Details: 30 bookings a month on Basic.
