Working hours, breaks and specific dates

Each specialist’s schedule is set in the CRM under “Workspace” → “Working Hours”: weekly hours, breaks and specific dates with other hours or a day off. Online booking offers only this time.

Who can do this

  • Every specialist’s schedule can be changed by the salon owner, Full access and Manager.
  • At the “Master” level, a staff member changes only their own schedule.
  • The “Booking Step Interval” and “Timezone” under “General” are changed by the salon owner and Full access.

How to set working hours

  1. In the CRM, open “Workspace” → “Working Hours”. The table shows every specialist’s schedule by “Week” or “Month”, with the hours in the “TOTAL” column.
  2. Click the specialist’s name at the top of their column — their schedule opens.
  3. On the “Working Hours” tab, set the hours for each day or mark it as a “Day off”. The “Reply for all weekdays” button copies the hours to every weekday.
  4. Click “Save”.

If the calendar says “Add working hours for your specialist, and you can start booking clients.”, there’s no schedule yet: click “Set working hours”.

On a phone

Open “More” → “Workspace” → “Working Hours”. The gear next to a specialist’s name opens “Staff schedule” with the tabs “Working Hours”, “Breaks time” and “Time off”. To change a single day, expand the specialist’s card and tap the pencil next to the date — “Edit this day” opens.

Breaks

  1. In the specialist’s schedule, open the “Breaks time” tab and click “Add break”.
  2. Pick a “Break Type”: “Lunch break”, “Cleaning”, “Personal”, “Meeting” or “Other”.
  3. Set the “Start time” and “End time”.
  4. Under “Repeat on”, choose when the break repeats: on weekdays (the default), “Every Working Days”, “Custom days” or “Doesn’t repeat”.
  5. Save.

“Breaks are automatically blocked on the calendar. Clients cannot book during break times.” You can’t book a client into a break by hand in the CRM either.

A break that doesn’t repeat is one-time: it sits on the calendar for its own date only (“One-time break added for …”), while the breaks list shows the repeating ones. Two breaks on the same day can’t overlap: “This break overlaps another one on the same day.”

Specific dates: other hours or a day off

“Other hours or a day off on a single date. These override the weekly schedule.” For example, a short day before a holiday or a day off in the middle of the week.

  1. In the specialist’s schedule, open the “Specific dates” tab and pick the date in the calendar.
  2. Keep “Working day” on and set the hours — or turn it off to make it a day off.
  3. Add a note if you like, and save.

To go back to the usual hours, click “Use weekly schedule”. A date can have only one schedule of its own: “This date already has its own schedule.”

Booking step

The “Booking Step Interval” sets the gap between the free slots clients see: 5, 10, 15, 20, 30 or 60 minutes; 30 by default. “Clients will see slots like 12:00, 12:30, 13:00.” To change it: “Workspace” → “General” → “Booking Step Interval”.

Time zone

The “Timezone” is set in “Workspace” → “General”. “CRM counts “now” and “today” in this timezone: the calendar time line, the highlighted day, a client’s last visit.” Online booking uses it too, to tell which hours have already passed. More in Time zones: where to set them and what they change.

How online booking finds free time

Online booking offers clients only times within the specialist’s schedule. It takes into account specific dates, breaks, time off, existing bookings and the booking step.

If something goes wrong

“This break overlaps another one on the same day.”

There’s already a break at that time on this day. Change the start or end of the new break, or edit the existing one.

“This date already has its own schedule.”

This date already has its own hours or a day off. Open it on the “Specific dates” tab and change it there.

“Could not save” or “This was already changed or removed”

“Could not save. Please try again.” — the save failed; try again. “This was already changed or removed. Reload the page.” — someone else has just changed the schedule: reload the page and make your change again.

Clients book over lunch

Add a “Lunch break” that repeats on the days you need — online booking will stop offering that time.

Clients see the wrong times

Check the “Timezone” and “Booking Step Interval” under “General”, and the specialist’s schedule for that date: specific dates override the weekly schedule.
