Time conflicts, breaks, days off and time off in the calendar

The CRM won't save two bookings for one specialist at the same time — you'll see "Time conflict!". A booking over the specialist's break or time off won't save either, while a booking on a day off or outside working hours saves with just a warning.

What the calendar won’t save

  • A booking that overlaps another booking of the same specialist. You’ll see “Time conflict!” (“this slot is already booked”) and “This time is already booked. Pick another time or staff member.” At the “Master” level, in their own column, a staff member sees “This time is already booked. Pick another time.”
  • A booking during the specialist’s break.
  • A booking on a day the specialist is away — vacation, sick leave and so on, including a time-off request that is still pending.

The check and the save happen together, so even two saves for the same time at the same moment can’t both go through. Breaks and time off only get in the way when you change a booking’s time or specialist; they won’t stop you from editing the note of an old booking.

What saves with a warning

  • “This is the staff member’s day off. The booking can still be saved.”
  • “Outside the staff member’s working hours (…). The booking can still be saved.”

Online booking never offers such time to clients: a booking on a day off or outside working hours can only be added by hand in the CRM.

How to do it: book two clients at the same time

Not with one specialist: a specialist can have only one booking at a time. Book the second client with another specialist or at another time.

If something goes wrong

“Time conflict!” — “This time is already booked…”, but the grid looks empty

Before saving, the calendar may warn: “This overlaps another booking (…). Pick another time or staff member.” If you can’t see another booking, the reason may be:

  • the specialist has a break or time off then, including a pending request;
  • someone else just took that time — online or a colleague.

What to do: pick another time or specialist, or change the break or time off in “Workspace” → “Working Hours” (see Working hours, breaks and specific dates).

“The staff member is away this day: …”

Or “The staff member has requested time off this day: …, not approved yet.” The calendar says “The booking can still be saved”, but saving fails with “This time is already booked…”: time off closes the day just like another booking.

What to do: change the time off or decline the request in “Workspace” → “Working Hours” → “Time off” (see Time off, sick leave and absence requests), or book the client with another specialist.

“This is the staff member’s day off. The booking can still be saved.”

The booking will save. If the specialist really works that day, add the date in “Workspace” → “Working Hours” → “Specific dates” — then online booking will offer it too.

“Outside the staff member’s working hours (…). The booking can still be saved.”

The booking will save. If the specialist now works longer, change their working hours — online booking only offers time within the schedule.

“This break overlaps another one”

The new break overlaps an existing one. Pick another time or change the existing break in “Workspace” → “Working Hours” → “Breaks time”. To book a client during a break, remove or move the break first.

“This specialist is over your plan’s limit: new bookings for them are unavailable…”

This happens after moving to a plan with fewer specialists: on Basic and Pro the calendar holds one specialist. The specialist’s existing bookings stay, but no new ones can be made. Archive the extra specialists or upgrade to Team (see The CRM is view-only: why and what to do).
