Materials and products: stock and selling in a booking

In the CRM, “Workspace” → “Materials” keeps your products and supplies: prices, stock and a reorder point. You can sell a product in a booking as an add-on, but the stock doesn’t go down by itself.

Who can do this

Materials are opened and changed by the salon owner and by staff with Full access.

How to add a material

  1. In the CRM, open “Workspace” → “Materials”.
  2. Click “Add material”.
  3. Fill in the fields and save.

On a phone: “More” → “Workspace” → “Materials”.

Material fields

  • “Material photos” — up to 8; tap a photo to make it the main one.
  • A name, a “Description” and the “Unit type”: ml, l, g, kg, pieces or cm.
  • “Retail price”, “Wholesale price” and “Cost per item”; the CRM shows the markup.
  • “On hand stock”, “Reorder point”, “Warehouse” and “Notes”.

“Enter numbers only: prices like 12.50, stock as whole numbers.”

The list shows the stock level: “High”, “Low” or “Out of Stock”. The “All”, “Active” and “Archive” filters help you find things.

How to sell a product in a booking

  1. Open a booking in the calendar or create a new one.
  2. Under “Add-ons”, click “Add extra service or products”.
  3. Go to the “Products” tab, tick the products and click “Add Selected”.
  4. Save the booking.

The price is the product’s retail price at the moment of sale. If you change the price in Materials later, bookings where it was already sold keep the old price.

Stock doesn’t go down by itself: a sale only records the product’s name, price and quantity in the booking. After a sale, update “On hand stock” by hand.

Archiving and deleting

To hide a product you no longer sell, open it and turn on “Archived”. It shows under the “Archive” filter and stays in bookings where it was already sold.

“Delete” → “Delete for good?” removes it for good. Bookings where it was sold keep its name, price and photo.

If something goes wrong

Stock doesn’t go down after a sale

That’s expected: selling in a booking doesn’t write the product off. Update “On hand stock” by hand.

“Could not save the material. Please try again.”

Make sure the price and stock fields contain numbers only, and try again. If the error keeps coming back, contact support. Write any time — we reply during working hours.

“Could not load the materials”

The CRM couldn’t get the list. Check your connection and reload the page.
