Payments from your clients: how Bookly records them

Mark a payment from your client in the booking — cash, card or terminal — and it becomes income in Finance by itself. Clients can’t pay online through the widget yet.

This article is about money your clients pay you. Paying for your Bookly plan itself is covered in How to pay for your Bookly plan: country and payment method, and receipts for the plan in Payments and documents.

Who can do it

A payment is marked in the booking by anyone who can change that booking. Income in Finance is seen by the owner and by “Full access”.

How to do it

Mark a visit as paid

  1. Open the booking in the calendar.
  2. Click the payment label — it says Unpaid at first.
  3. Choose Cash, Card or Terminal.

A paid booking becomes income in Finance by itself, for the booking total with add-ons; a terminal payment counts as Card there. If a paid booking is cancelled, the income turns into a refund. A completed but unpaid booking becomes a debt straight away. More in Payment in a booking and refunds to a client.

Money that isn’t for a particular booking

Add it by hand: Finance → Operations → “Add operation”, type Income. The payment methods there also include Online and Other. Money paid in advance is recorded as a Deposit — see Client deposits.

Payment when a client books online

The online booking widget has no payment step: the client books without paying and pays you at the visit or in advance, as you agreed. If a client sent money to your card for a particular visit, mark Card in the booking. Put your payment terms in the widget’s “Booking policy” — clients see it before they book.

Fiscal receipts (cash registers, PRRO)

Bookly doesn’t issue fiscal receipts to your clients and doesn’t connect to cash registers or software cash registers (RRO or PRRO). Marking a payment in a booking only records income in Finance, and the “Receipt” block of a booking lists the service and add-ons with the total — it isn’t a fiscal receipt. If you need to issue fiscal receipts, do it with your own cash register, separately from Bookly.

Fiscal receipts for your Bookly plan itself are a different thing: the payment provider issues them, and they’re in “Payments & documents” — see Payments and documents: receipts for your Bookly plan.

If something doesn’t work

“Selling needs a payment provider — not connected yet.”

You’ll see this when adding a digital product to your page as a block: clients can’t pay online yet. You can still link to the product’s storefront with an ordinary link — see Digital products: storefront, files and price.

I marked the payment, but it isn’t in Finance

  • Income appears when the booking is paid and not cancelled.
  • A terminal payment shows in Finance as Card.
  • A booking payment is dated by the day of the visit — check the period.

I need to give money back to a client

A refund is made from the income with “Refund” — see Payment in a booking and refunds to a client. You return the money to the client yourself.
