Archive or delete: services, materials, staff, clients

Anything with history — bookings, payments, payroll — isn’t deleted in Bookly but archived or switched off, so your reports stay correct. Services and materials can be deleted for good: old bookings keep their name and price.

Why not everything can be deleted

Bookings, payments and payroll refer to services, staff and clients. So anything with history is archived or switched off: it disappears from lists and new bookings, while the past and your reports stay correct.

Who can do this

Services, materials and staff cards are archived and deleted by the salon owner and Full access. Clients, bookings and Finance are covered in their own articles below.

What to do with each kind of data

A service

To stop bookings for a service but keep it in the CRM, turn off “Available for booking”: “When off, the service disappears from new bookings and the public booking page. Existing bookings stay.”

To delete it for good, open the service and click “Delete” → “Delete for good?”. The specialists’ pay rates for this service are deleted with it. Old bookings keep the service’s name and price.

A material

Turn on “Archived” or delete the material — see Materials and products. Bookings where it was sold keep its name, price and photo.

A staff member

The “Archived” tab of the Staff page explains: “Staff with bookings or payroll history are archived instead of deleted and appear here.” While someone has upcoming bookings, their card can be neither archived nor deleted. Step by step: An employee leaves: turn off access, archive or delete.

A client

Clients aren’t deleted but moved to the archive — see Removing a client: archive instead of delete.

A booking

A booking isn’t deleted but archived with a reason — see Rescheduling or archiving a booking.

An operation in Finance

An operation isn’t deleted but voided — see Operations and journal.

If something goes wrong

“This staff member can’t be deleted: there are bookings or payroll history.”

It can also read: “This staff member has bookings or payroll history and cannot be deleted.” Archive the card instead — the CRM offers an “Archive” button itself.

“This staff member still has upcoming bookings.”

The full message: “This staff member still has upcoming bookings. Move or cancel them first.” Move those bookings to other specialists or cancel them, then archive.

I deleted a service, but it’s still in bookings

That’s expected: old bookings keep the service’s name and price so your history and reports don’t change.

How to hide a service without deleting it

Turn off “Available for booking” in the service. It disappears from new bookings and the booking page and is marked “Off” in the CRM. You can turn it back on any time.
