The “Bookings” section holds every booking — past, upcoming and cancelled. Here you search them, filter by status, payment, specialist and period, and see who changed what.

Who sees what: the owner, “Full access” and “Manager” — all bookings; “Master” and “Viewer” — only their own.

How to do it

Find a booking

  1. Open CRM → “Bookings”.
  2. Choose “All”, “Upcoming” or “Past”.
  3. Search by client, service or staff, or click “Filters”: status, payment, staff member, “Period”, “Only bookings with add-ons”.

Above the list are the totals for your selection: “In this view”, “Earned on completed”, “Still ahead”.

See the details and the change history

Open a booking. The card shows the receipt with add-ons, “Payment”, “Messages to the client” and “Activity”. “Activity” shows who created the booking and when, changed the status, moved it, changed the payment, the specialist, the client or the service. The author is “Customer”, “Staff”, “Owner” or “System”; where it came from — “Through the booking widget” or “Created in the CRM”.

“Open in calendar” takes you to the booking in the calendar.

Cancelled bookings

Bookings archived from the calendar stay here with their cancellation reason: “Cancelled bookings are removed from the calendar; the record stays here for history.” Nothing ever disappears from this list.

If something goes wrong

“Couldn’t load bookings” or “Couldn’t load the booking”

“Check your connection and try again.” Click “Try again”. If that doesn’t help, write to us. Write any time — we reply during working hours.

“Booking not found”

“This booking is not in the directory. It may have been opened from an old link.” Find the booking with the search in “Bookings”. If your level is “Master” or “Viewer”, you only see your own bookings.

“Nothing found”

“No bookings match this search and these filters.” Click “Clear search and filters”.

A specialist can’t see colleagues’ bookings

That is by design: “Master” and “Viewer” see only their own bookings. Access levels: Staff access levels in the CRM.

Still have a question? Write any time — we reply during working hours.

  • Booking statuses and payment statuses

A booking can be "New", "Confirmed", "Booked", "Completed" or "Declined". The payment is set separately in the booking: "Unpaid", "Cash", "Card" or "Terminal".

  • Time conflicts, breaks, days off and time off in the calendar

The CRM won't save two bookings for one specialist at the same time — you'll see "Time conflict!". A booking over the specialist's break or time off won't save either, while a booking on a day off or outside working hours saves with just a warning.

  • Payment in a booking and refunds to a client

You mark the payment in the booking itself: "Cash", "Card" or "Terminal". A paid booking becomes income in "Finance" on its own, and one cancelled after payment becomes a refund; Bookly only keeps the records — you give the money back to the client yourself.
