How to invite an employee to the CRM

In the CRM, open Staff, then the employee’s card, and turn on CRM access: choose an access level and send the invitation by email or as a link. The invitation is valid for 7 days; staff access comes with the Team plan.

Who can do this and on which plan

  • Staff access to the CRM is part of the Team plan only. Team includes 3 staff members, and you can buy more seats — see Seats on the Team plan.
  • Invitations are sent, and access is turned off, by the salon owner or by a staff member with Full access.
  • A staff card works without a CRM sign-in too: schedules, services and bookings are handled the same way. Invite someone only when they need to open the CRM themselves.

How to do it

  1. In the CRM’s left menu, under “Admin”, open “Workspace” → “Staff”.
  2. Click “Add Staff” to create a new card, or open an existing one.
  3. Turn on “CRM access” — “The person signs in to the CRM with their own password”.
  4. Choose an “Access level”: “Full access”, “Manager”, “Master” or “Viewer”. See Staff access levels in the CRM for what each one allows.
  5. Under “How to invite”, choose “By email” or “By link” (details below).
  6. Click “Save and invite”.

On a phone

Open “More” → “Workspace” → “Staff”, then tap “Add” or the person’s card. Everything else is the same, except that the button at the bottom says “Invite”.

By email

Enter the person’s address in “Staff email”: “The CRM invitation goes to this address.” Once you save, the card shows “Email sent to … · valid until …”.

They receive an email titled “… invites you to the … CRM on Bookly” with an “Accept the invitation” button. They don’t need to sign up for Bookly separately: the account is created when they accept.

If the CRM says “Enter an email to send the invitation”, the email field is empty. Fill it in or choose “By link”.

“Once you save, a personal link appears: pass it on to the person. They choose their own email and password. The link works once and lasts 7 days.”

Send it with “Copy” or “Share”, for example in a messenger. The link is shown only once: if you closed the card before passing it on, click “New link”.

What the employee does

  1. Opens the email or the link and sees “You’re invited to the … team”.
  2. Enters their name and a password. With an email invitation, they tap “Join the team”.
  3. With a link invitation, they also enter their own email, tap “Get a code” and type the 4-digit code from the email, which proves the address is theirs.
  4. Right after that they land in the salon’s CRM.

From then on they sign in at crm.bookly.me with that email and password. The CRM works in the browser, and on a phone it’s handy to add it to the home screen.

Don’t open the invitation on your own device: if your account is signed in there, the page offers to sign you out (“You’re signed in as …”). Pass the link on to the employee instead.

Send it again or cancel it

  • “Send again” (“New link” for a link invitation) creates a fresh link. The old one stops working at once, and the new invitation doesn’t take a second seat.
  • “Cancel invitation” withdraws it, and its link won’t work any more.
  • The card shows the state: “Invited”, “Expired”, “Disabled” or “Paused”.

If something doesn’t work

“Staff access to the CRM is available on the Team plan only.”

The salon is on Basic or Pro, where only the owner works in the CRM. To invite staff, switch to the Team plan — “See plans” next to the message opens the plan choice. The salon owner does this.

“Team trial until … Without a paid Team plan, staff access pauses after that.”

You can invite people during the Team trial. When the trial ends, the salon moves to Basic and staff can’t sign in until the owner pays for Team. Once it’s paid, access comes back by itself — see The salon’s plan doesn’t include staff access to the CRM.

“Choose an access level to send the invitation.”

An invitation can’t go out without an access level. Pick one under “Access level” in the “CRM access” block and save again.

The invitation email doesn’t arrive

Check the address on the card and ask the person to look in their spam folder, then click “Send again”. One address can get up to 5 emails a day, and a salon can send up to 20 invitations a day. If the email still doesn’t arrive, switch to “By link” and pass the link on yourself.

The invitation has expired

An invitation lasts 7 days. If the card says “… · the link has expired”, click “Send again” or “New link”.
