Reports and exports: Excel, CSV and PDF

In the Simple mode, analytics is downloaded with “Download CSV”. In the Professional mode, the Export menu gives Excel, CSV and PDF with the same filters; Excel and CSV hold up to 50,000 rows, a PDF up to 500.

Who can use it and on which plan

Finance is open to the owner and to “Full access”. “Download CSV” in Analytics is on every plan. The Export menu and the reports are part of the Professional mode, on Pro and Team. The “Payroll — accrued and paid” report is on the Team plan only.

How to do it

In the Simple mode

  1. Open Finance → Analytics and pick a period.
  2. Click “Download CSV”.

In the Professional mode

  1. Switch Finance to Professional — see Simple and Professional finance modes.
  2. Open the operations journal, the change log, expenses, a report or payroll, and set the period and filters.
  3. Click Export and choose “Excel (.xlsx)”, CSV or PDF.

The file holds exactly what you see: the same period, the same filters and every page, not just the visible one. Each export is recorded in the Change log.

Which reports there are

  • Profit and loss — money in, money out and the result; compare it with the previous period or the same period last year.
  • Money in by payment method — what came in and what was refunded for each payment method.
  • Breakdown — the money by services, service categories, staff, clients, client sources or expense categories.
  • Client debts by age — unpaid visits: 0–30, 31–60, 61–90 and over 90 days.
  • Payroll — accrued and paid — on the Team plan.

If something doesn’t work

“Too many rows for a PDF…” or “Too many rows for CSV…”

Excel and CSV hold up to 50,000 rows, a PDF up to 500. Narrow the period or the filters, and for a large report choose Excel instead of PDF.

It says the period columns don’t fit on a PDF page

The report has too many columns for one PDF page. Choose quarters or years under Columns, or export to Excel or CSV.

“Another file is being prepared” or “Too many exports in a minute”

A salon builds one file at a time, and only so many exports a minute. Wait as many seconds as the message says and try again.

“The file took too long to prepare” or “Could not export the file”

  • “The file took too long to prepare. Narrow the period or the filters.” — the file didn’t finish in time; make the selection smaller.
  • “Files are exported from the CRM itself. Reload the page and try again.” — reload the CRM page and click Export again.
  • “No connection: the file did not download. Please try again.” — check your internet.
  • “Could not export the file. Please try again.” — try again; if it keeps happening, write to us.

“The period is too long” or “The period starts after it ends”

  • “The period is too long: no more than 10 years.” — pick a shorter period.
  • “The period starts after it ends.” — swap the From and To dates.
  • “The period is too long to show by days or weeks: choose months.” — show the period by months.
