Staff pay and rates (Team)

On the Team plan, Finance → Staff counts pay by itself from paid bookings using each master’s pay terms: a percent of the service, a fixed amount per booking or a monthly salary. Adjustments and payouts are recorded there too.

Who can use it and on which plan

  • Staff pay is on the Team plan only. On Basic and Pro, instead of the Staff section you see “Staff pay and rates are on the Team plan”.
  • Pay is counted and paid out by the owner or by staff with “Full access”. Masters don’t see their pay in the CRM: Finance is open only to the owner and to “Full access”.

How pay adds up

“Earned → Adjustments → Accrued → Paid out → Owed”.

  • Earned — automatic, from the master’s paid bookings under their pay terms.
  • Adjustments — bonuses, penalties, advances and corrections you add by hand.
  • Accrued — what was earned plus the adjustments.
  • Paid out — the payouts you recorded.
  • Owed — what is left to pay.

A staff member’s page also shows how their earnings changed over the last 12 months and their payout history.

How to do it

Set the pay terms

  1. Open Finance → Staff and choose the person.
  2. Click “Pay terms”.
  3. Under “How pay is calculated”, choose “Percent of the service”, “Fixed amount per booking” or “Monthly salary” and enter the amount.
  4. In “Effective from”, set the date the new terms start, and save.

“Percent of the service” is a share of every paid booking. “Fixed amount per booking” is the same amount for every paid booking. “Monthly salary” is accrued on the 1st regardless of bookings. If “Effective from” is in the past, pay from that date is recounted with the new terms.

Add a bonus, a penalty or an advance

  1. Open the person in Finance → Staff.
  2. Click “Add adjustment” and choose Increase or Decrease.
  3. Pick a reason — Extra work, Calculation error, Bonus, Penalty, Advance or Other — and enter the amount, the date and, if you like, a comment.

Record a payout

  1. In Finance → Staff, click “Pay out” in the person’s row, or “Pay out …” on their page.
  2. Check the amount, date and payment method, and save.

The payout goes into the person’s payout history and into Operations. Bookly only keeps the record: you hand the money to your staff yourself.

On a phone

The Finance tab → Staff → the person: there you’ll find “Pay terms”, adjustments and the “Pay out …” button.

If something doesn’t work

“Staff pay and rates are on the Team plan”

Payroll is on Team only. If your Team plan has ended, the payroll data is kept and comes back with the plan. Plans are compared in Basic, Pro and Team plans: what’s the difference.

“A percentage cannot be over 100.” or “A monthly salary is not tied to a service.”

  • A percent is a whole number from 0 to 100.
  • A salary is accrued for the month regardless of bookings, so it has no service.

“This month is closed: payroll changes only in an open month.”

Pay for a closed month can’t be changed. Add the adjustment or payout with a date in an open month.

Pay isn’t being counted

  • Pay comes only from paid bookings: mark the payment in the booking — see Payment in a booking and refunds to a client.
  • Check that the person has pay terms: without them their row says “pay terms not set”.
  • New terms apply from the “Effective from” date.
