Staff access levels in the CRM

Each employee gets one of four levels: Full access, Manager, Master or Viewer. You change the level on their card and it applies at once; only the salon owner can grant or remove Full access.

Who changes the level

  • An employee’s level is changed by the salon owner or by someone with Full access.
  • “Only the salon owner can grant or remove the Full access level.”
  • You can’t change your own level: “This is your own card: only the salon owner changes your access.”
  • Access levels exist on the Team plan, the only plan where staff sign in to the CRM.

What each level allows

  • “Full access” — “Everything in the CRM: everyone’s calendar and bookings, clients, leads and reviews, tasks, finance and payroll, workspace settings, staff and their access. The plan and billing stay with the salon owner, but a request for extra seats can be sent.” This level can change services and prices too.
  • “Manager” — “Every master’s calendar and bookings, clients, leads and reviews, tasks, staff cards and schedules. No finance, settings or staff access. Suits a front-desk administrator.”
  • “Master” — “Their own bookings and clients, their own working hours. Can book a salon client found by the full phone number.”
  • “Viewer” — “Only their own calendar and bookings, no changes. No clients section.”

Masters and Viewers see only their own column in the calendar and only their own card. Only the owner and Full access can export the client base to a file. There are no custom roles — just these four levels.

How to change a level

  1. Open “Workspace” → “Staff” (on a phone: “More” → “Workspace” → “Staff”).
  2. Open the employee’s card.
  3. In the “CRM access” block, choose another “Access level”.
  4. Click “Save”. The new level applies right away, from the person’s next action — they don’t need to sign out and back in.

If something doesn’t work

“Your access level does not allow this.”

This action isn’t part of your access level: for example, a Master doesn’t see finance and a Manager doesn’t change settings. If you need it for your work, ask for a different level. The salon owner, or someone with Full access, does this.

“View only: your access level does not include changing bookings.”

Your level is Viewer: you see your calendar and bookings but can’t change them. Masters and higher levels create and edit bookings — ask the salon owner to change your level.

“Find other salon clients by their full phone number”

A Master sees only their own clients. To book a salon client who hasn’t been to you yet, type their full phone number. The CRM shows “A salon client — becomes yours once booked”, and after the booking they appear among your clients.

“Only the salon owner can grant or remove the Full access level.”

Someone with Full access manages other people’s access, but can’t grant or remove Full access and can’t change their own card (“This is your own card: only the salon owner changes your access.”). The salon owner does this.

“Only the salon owner can change the salon profile.”

A staff member sees this when trying to change the salon’s profile in their Bookly account — its name, address or phone numbers. Only the owner changes the salon profile, whatever the access level. Ask the salon owner to do it.

A master can’t see colleagues’ bookings

That’s by design: Masters and Viewers see only their own calendar column. Manager and Full access see every master’s calendar.

An employee can’t export clients
