Sync with Google Calendar and Apple Calendar (iCloud)

In the CRM → Workspace → Integrations → Calendars you can connect Google or iCloud: Bookly bookings appear by themselves in a separate “Bookly” calendar and stay up to date. The sync is one-way — changes made in Google or Apple are put back by Bookly. Available on Pro and Team.

Who can use it and on which plan

  • Calendar sync is on the Pro and Team plans.
  • “My calendar” is connected by a staff member with their own card: only their bookings go into it.
  • “Whole salon” puts all the salon’s bookings in one calendar; it is connected by the owner, “Full access” or a Manager.
  • The owner can disconnect any of the salon’s calendars.

The sync is one-way

  • Bookings from the CRM appear in the calendar by themselves and follow every move or cancellation.
  • “Change bookings in Bookly: edits made in the calendar itself are put back.” If you move or delete an event in Google or Apple, Bookly puts it back — it checks for changes every 15 minutes.
  • Each event’s description reminds you: “Change the booking in Bookly — changes made here will be reverted”.
  • Your personal events in Google or iCloud don’t take up time in Bookly.
  • Events you add to the “Bookly” calendar yourself are left alone.
  • The calendar gets bookings from yesterday up to 180 days ahead.

How to do it

Connect Google Calendar

  1. In the CRM, open Workspace → Integrations → Calendars.
  2. On the Google Calendar card, click Connect in the “My calendar” or “Whole salon” row.
  3. Sign in to your Google account and allow access to the calendar.
  4. Back in the CRM you’ll see “Calendar connected. Bookings will appear in it within a few minutes.” A separate “Bookly” calendar appears in your Google account.

On a phone: More in the bottom bar → Workspace → Integrations — the calendars section is the same, and so are the steps.

Connect Apple Calendar (iCloud)

  1. Create an app-specific password: on appleid.apple.com open Sign-In and Security → App-Specific Passwords, click Generate and name it, for example, Bookly.
  2. In the CRM → Workspace → Integrations → Calendars, click Connect on the Apple Calendar (iCloud) card.
  3. Enter your Apple ID — the email you sign in to iCloud with — and the app-specific password in the form xxxx-xxxx-xxxx-xxxx.
  4. Click Connect. A separate “Bookly” calendar appears in iCloud — on your iPhone, iPad and Mac.

Adjust or disconnect

  • Under a connected calendar there are the “Show the client’s phone” and “Show the note” switches.
  • Manage → “Sync now” updates the calendar straight away.
  • Manage → Disconnect deletes the “Bookly” calendar from your Google account or iCloud.

And the client?

After booking online, the client sees an “Add to calendar” button and can add the visit to their own calendar.

If something goes wrong

“Calendar sync is available on Pro and Team.”

On Basic calendars can’t be connected, and connected ones are paused. Move to Pro or Team — the “See plans” button is right there. You can disconnect a calendar on any plan.

“A calendar is connected by a master with their own card or by the salon owner.”

“My calendar” is connected only by someone with their own staff card, and “Whole salon” by the owner, “Full access” or a Manager. Staff cards are created by the owner — see How to invite an employee to the CRM.

Google won’t connect

  • “Connection cancelled: Google did not grant access.” — when signing in to Google, allow access to the calendar and try again.
  • “The connection link has expired. Please try again.” — click Connect again.
  • “Google did not respond. Try again in a few minutes.”
  • “Could not connect the calendar. Please try again.”

iCloud won’t connect

  • “The Apple ID or the app-specific password did not work. Check them and try again.” — you need the app-specific password from appleid.apple.com, not your Apple ID password.
  • “Enter your Apple ID — the email you sign in to iCloud with”.
  • “An app-specific password is 16 characters like xxxx-xxxx-xxxx-xxxx”.
  • “iCloud is not responding right now. Try again in a few minutes.”

“Access to the calendar was closed — connect it again”

This happens when “Google revoked access — connect the calendar again” or “The app-specific password was revoked — connect again”. Click Reconnect. Until the calendar is connected again, Bookly can’t add bookings to it, and you get a notice saying so. If it says “Could not sync the calendar”, Bookly keeps trying by itself; you can also click Manage → “Sync now”.

I moved an event in Google and it moved back

That’s expected: the sync is one-way. Move the booking itself in Bookly — the calendar event follows.

Bookings don’t show in the calendar

  • After connecting, bookings appear within a few minutes.
  • The calendar gets bookings from yesterday up to 180 days ahead.
  • “My calendar” shows only your bookings; all the salon’s bookings are in “Whole salon”.
  • If a staff member’s access is turned off or their card is archived, their calendar is disconnected and deleted.
