Ready-made categories, plus your own
The ready-made categories are already there, and you add your own next to them. In “Manage categories” you rename them and give them a colour.
Where most of it goes
One look at the “Largest category” tile and the “Expenses by category” bars, and you know where most of the money goes.
Team payouts, kept separate
If you run your team’s pay in Bookly, “Staff payouts” get their own row and a tile with their share of all expenses. How pay is counted is on the “Payroll” page.
When you add rent, utilities or a subscription, turn on “Recurring expense” and choose “Monthly”, “Weekly” or “Yearly”. You don’t have to remember the date: the expense appears on the day it’s due, even if you didn’t open the CRM that day. And if a payment stops for a while, press “Pause” in “Recurring expenses”, then “Resume”.

Supplies, ads or equipment — via “Add expense”, with a category, on your computer or phone.

Once a week open the “Overview” tab of “Analytics”: the “Forecast” hints where the month is heading, and the “Period comparison” shows what changed.

Contact usIt’s the income of the period minus every expense, staff payouts included, by the date they were paid out. Pay that has been earned but not yet paid out is not subtracted. Income is paid bookings, income you add yourself and prepayments, minus refunds. A completed but unpaid visit shows as “Overdue” and isn’t income. “Margin” on the “Overview” tab is the profit as a percentage of income. The “Margin” next to each service is counted differently — the sales analytics page explains it.

On September\u{a0}19, “This month” is compared with August\u{a0}1\u{2060}–\u{2060}19, “This week” with the same days of last week, “This year” with the same stretch of last year, “Today” with yesterday, and a custom range with the same number of days before it. The exact dates are written under the tiles, and the “Period comparison” shows both values and the “Change”.
It’s a guide, not a total. “Expected income by period end” is the income you already have plus the larger of two: the unpaid bookings already made for the rest of the period, or your average income per day times the days left. Expenses carry on at the same daily pace as so far: if the rent was paid at the start of the month, the expense side comes out higher than it will be, and if it’s still ahead, lower. For “Today” and a custom range you’ll see “Period is over — forecast equals actuals”.
One-off expenses with a category — with “Add expense”, income outside bookings, and recurring expenses once. Paid bookings you don’t enter: they’re already in “Finance”. Payouts to the team go into expenses when you record them, if you run your team’s pay in Bookly — more on the “Payroll” page.
A form with a past date creates one expense on that date, and the next one on the nearest matching day after today. Missed dates are not filled in: add them as ordinary expenses. After “Resume” the expenses go on from the nearest date, and the paused days are not filled in. If you delete a recurring expense, the expenses it already recorded stay.
“Download CSV” gives the period’s totals by day, or by month when the period is longer than two months: income, expenses, profit, paid bookings, the average check and the currency. Column names are in English. In the Ukrainian CRM the file uses “;” and a decimal comma, so Excel set to Ukrainian splits it into columns right away. In Professional mode, on the “Income” and “Expenses” tabs, the “Export” menu with Excel, CSV and PDF takes the button’s place — more on the “Advanced Analytics” page.
The owner and those you gave “Full access”. Team members with the “Manager”, “Master” or “Viewer” level don’t see the “Finance” section.
